Advocata

Privacy policy

Last updated September 23, 2026. Plain language on purpose; the short version is that we collect what a doctor's office needs to book you, use it for that and nothing else, and delete it when the appointment is made.

Who we are

Advocata ("we") is a scheduling service. You tell us what kind of doctor you need; we call offices, find one that takes your insurance and can see you, and book the appointment. We are not a medical provider and we don't give medical advice. Contact: hello@advocata.health.

What we collect

  • Your request: the kind of doctor and visit you want, your zip code and how far you'll travel, your timing and preferences, your insurance carrier and plan type.
  • Booking details: your full name as it appears on your insurance card, date of birth, insurance member ID and group number, and, if you aren't the policyholder, the subscriber's name and date of birth. Optionally, your primary care doctor's name.
  • Contact details: your email address and mobile number.
  • Payment: Stripe, our payment processor, collects your card and charges the $20. We never see or store your card number.

Why we collect it

Doctors' offices verify insurance eligibility before offering a date and book appointments under the name on the card. We collect these details so we can complete the booking you asked for. We use your contact details to tell you what we found and when it's booked.

How it's stored and protected

Your booking details are stored encrypted on Google Cloud under a HIPAA Business Associate Agreement, in a database that only our booking system can read, and shown to a person on our team only at the moment of booking. Requests and booking details are kept separately. Our automated assistant that calls offices never receives your name, date of birth, or member ID; those are used only when an appointment is booked. Emails we send you never contain them.

Concierge messages

Advocata also finishes healthcare errands over iMessage and email, free, while we learn what patients need. Messages sent to 720-541-0797 or hello@advocata.health are stored on Advocata's Apple devices and in the hello@advocata.health mailbox, encrypted, and used only to complete your request. They are not stored on Google Cloud as booking details are. Our automated assistant may phone offices on your behalf. We delete the messages 60 days after your request closes, and every backup copy within 90 days. A text message from a non-Apple phone reaches us unencrypted; we reply once asking you to email instead, and delete it. Advocata does not answer medical questions over messages, and is not for emergencies.

Who we share it with

  • The doctor's office, to book your appointment. Only what the office needs.
  • Stripe, to authorize and charge your card. Stripe receives your email and the $20 charge, not your health details.
  • Our email provider, which receives your email address and the text of the emails we send, none of which include booking details.

We do not sell your information, share it with advertisers, or use it to build profiles. We use Google Analytics to count visits and to see which steps of the request form people complete. Those events carry step names and counts only; they never include the answers you type, your name, date of birth, member ID, or any health detail.

How long we keep it

Booking details are deleted 30 days after your appointment is booked, or 30 days after we tell you we couldn't find one. Your request and the results we found (which offices said what) are kept without your booking details so we can answer questions about your case. You can ask us to delete everything at any time.

Your choices and rights

Email hello@advocata.health to see what we hold about you, correct it, or delete it. We'll confirm within five business days. Colorado residents have these rights under the Colorado Privacy Act; we extend them to everyone.

Payment and refunds

Stripe charges $20 when you submit a request. Advocata refunds the $20 on the day no appointment fits, and on request at any time, for any reason: email hello@advocata.health or reply to any Advocata email. Refunds reach a card statement in 5 to 10 business days.

Changes

If this policy changes in a way that affects you, we'll email the address you gave us before the change takes effect.
